Student Life: Creating a Club

Forming and Activating a Club

The procedures for forming a new club or activating a continuing club are as follows:

  • Check the current club list to see if a club exists that reflects your interest. You may also create your own if you did not find the club of your choice. Create a name and a purpose for your club.
  • Go to the Student Life and Services Office (T700 E1) to pick up the link to the Club Activation form.
  • For assistance in locating a faculty advisor or writing your club constitution, contact the Student Life and Services Office (T700 E1) at 661.722.6300, extension 6354.
  • Attend the ICC meeting for approval. Meeting dates for 2022 - 2023 TBA.

Once the club has been approved

  • After a club has been approved the officers of the club will have access to Student Clubs Canvas with all the forms needed from Facility Use Forms, Checklist, College Schematics, Trip Requests, the Advisor and Club Handbook, Financial Forms, Grant Proposal Request, ICC Constitution and Bylaws and many more.
  • One member of the club (ideally an officer) must attend scheduled ICC meetings in order for the club to remain active.  Clubs who miss three meetings during the semester will be inactivated.
  • ICC meetings will provide a link between the clubs and the Associated Student Organization as well as other valuable resources.
  • All on-campus club activities must be approved by the ICC with four (4) weeks advance notice.

Promote Your Club

  • Flyers Around Campus
    • Clubs may create flyers to promote their club. Each club is alloted 200 black and white or color copies per month.  All flyers must be approved by the ASO/ICC Advisor, Michelle Hernandez, in the Student Life and Services Office (T700 E1).  Flyers will be posted near the Marauder Bookstore and Cafeteria on designated boards. Clubs may also post flyers in approved areas with permission.
  • Campus Club Events
    • Come up with events and other activities for your members and for the AVC student body. Bring those ideas to a bi-monthly ICC meetings for discussion and approval. You may also want to team up with other campus clubs to generate marketing opportunities for your club.

Club Events

Your club can have many types of activities, events and fundraisers on and off campus. Activities can include social events, educational events and fundraising events. Here is an example of activities that current clubs have put together:

Fundraisers at local restaurants

  • When you are planning an on campus event:  Fill out a ICC Event approval form which includes the Facilities Request form and present your club event(s) at a ICC meeting for approval.
  • When you are planning an off campus event such as a fundraiser at a restaurant, you do not need to fill out a Facilities Request Form but you must complete the ICC Event Approval Form and have the event approved by ICC prior to the event.  The club advisor must be present at all events.
  • Several times a semester, the Student Life and Services Office puts together events on campus where clubs may participate. These are excellent opportunities to recruit new members, fundraise and have a good time. Attend ICC meetings to learn about upcoming events that your club can participate in.
  • When a club wishes to travel they must complete an Executive Council Checklist, and Student Manifest form. The trip must be approved at an ICC meeting and the club advisor will upload all approved forms to Chrome River. Trips must approved at the AVC Board of Trustees meeting. Students cannot travel unless approved by the AVC Board of Trustees therefore please plan at least four (8) weeks in advance for all approvals.
