The move to Microsoft Email is coming starting in October!

Faculty and Employees

The email migration schedule for all faculty and employees is complete. Any future changes will also be published to this site, so visit often to get the most up-to-date information.

With the changes that are coming, we want to ensure that everyone knows how this change will impact them. Note that if you are in our adjunct pool and do not have an active teaching assignment, we will only be copying over your email. We will announce the date that we will move all of these accounts over shortly. This does not include retiree accounts.

Gmail to Microsoft 365 Outlook

  • Starting September 21st and until you are migrated, all new, incoming email will appear in both Microsoft 365 and Gmail.
  • When you are migrated, your new incoming emails will only go to Microsoft 365. Gmail will no longer receive new emails.
  • We will turn off access to Gmail for employees before Winter Break. Until then, you may use Google Takeout https://takeout.google.com to make a backup of your email.
  • When we turn off Gmail for employees, all email in Google will be purged to make room for storage in Google Drive for everyone.

Google Drive to OneDrive

  • Right now, we have copied content from your Google Drive to your OneDrive storage in Microsoft365. We are also are copying new files every two weeks.
  • When you are migrated, we will perform on last copy from Google Drive to your OneDrive. We recommend not deleting anything from Microsoft until we notify your division/department that the final copy is complete, or it may come back.
  • We will not be deleting any content out of Google, but we will be setting quotas on all accounts. Employees will have a 25GB quota.

Current Students

We are still planning a cutover date for your email. We will post it here as soon as the date has been identified. We are copying over only your email. You may copy your Google Drive content over to Microsoft OneDrive. The student quota in Google Drive will be reduced to 10GB at the time of the cutover. If you need more storage, OneDrive has a larger limit (1TB).

Former Students and Retirees

We will be creating new accounts for you in Microsoft365, but we will not be copying over your email over to Microsoft 365. We will also delete your Google accounts shortly after the transition. The transition date will be posted when it has been identified.

How does this affect me?

Students now login witha  a new @students.avc.edu email domain at AVC. Your email address is <first initial><last name>###@students.avc.edu. You will also begin logging in to AVCID using your full email address. If you are concerned about losing anything, you can use Google Takeout to download a copy of your emails and files. A temporary forward will be kept until the end of August 2024 for all renamed accounts so you have time to update others with your new email address.

During Fall 2023, we will migrate email services to Microsoft 365. We will copy your student email only to Microsoft for you. Files in OneDrive can be edited collaboratively between multiple people in real-time using both Office Web and the full Microsoft Office installed on PC, Mac, iPhone, and Android. We will also institute a 10GB quota on all student accounts in Google; this quota counts both emails and files in Google Drive. While you are currently enrolled, you may download Microsoft Office for use on up to 5 of your PC, Mac, iPhone, and Android devices and begin using OneDrive today. You may also use Google Takeout to download a full copy of your emails and files now to ensure that you have all of your data. We will also disable and delete Google Photos at this time.

When you stop taking classes at AVC, you will completely lose access to Google and the downloadable Microsoft Office suite. You will also lose access to the rest of Microsoft 365, unless you have earned an alumni email account. See the Alumni section below for more information.

We are making a big change for student workers: a new, dedicated employee <first>.<last>@avc.edu account will be created for you. This is in addition to your existing student email address changing to <first initial><last name>###@students.avc.edu. For both accounts, you will need to login using your full email address. When you are no longer employed by AVC, we will keep your employee account, but you will keep your new student account while you are taking classes here (and beyond when you become alumni!) TYou can use Google Takeout to make a copy of your emails and Google Files data at any time.

During Fall 2023, we will migrate email services to Microsoft 365. For both accounts, we will copy all of your email in Gmail, but not your files in Google Drive, over to Microsoft. We will also institute a 10GB quota on all student and student worker accounts in Google; this quota counts both remaining emails and files in Google Drive. While you are currently enrolled, you may download Microsoft Office for use on up to 5 of your PC, Mac, iPhone, and Android devices and begin using OneDrive today. You may also use Google Takeout to download a full copy of your emails and files now to ensure that you have all of your data. We will also disable and delete Google Photos at this time.

When you stop working at AVC, we will keep your employee account for FERPA compliance. When you stop taking classes at AVC, you will completely lose access to Google. You will also lose access to Microsoft 365, unless you have earned an alumni email account. See the Alumni section below for more information.

There are a few major changes for faculty happening over the next two months. The first will happen June 16th through 19th, 2023. First, your email (and username) will be switched to <first>.<last>@avc.edu. We're setting up permanent forwards for employees so you won't lose any email. You will also need to login using your email address into AVCID.  Also, your students email will now end in @students.avc.edu (with no other change). At this point, we will still be using Gmail. The new first.last email names have a 20 character limit, this means your last name may be truncated to fit the 20 character limit.

During Fall 2023, we will migrate email services to Microsoft 365. We will copy all of your email in Gmail and files in Google Drive over to Microsoft OneDrive, where you will have 1TB (that's 1,000GB) storage for use in your classes. You can generate links to your files and share them in Canvas with your students, and files in OneDrive can be edited collaboratively between multiple people in real-time using both Office Web and the full Microsoft Office installed on PC, Mac, iPhone, and Android. We will also institute a 50GB quota on all faculty and staff in Google; this includes both emails and files in Google Drive. This quota will not impact most faculty; but if you feel that will impact you, you may begin using OneDrive today for your Summer and Fall classes. You may also use Google Takeout to download a full copy of your emails and files now to ensure that you have all of your data. We will also disable and delete Google Photos at this time.

When you leave AVC, your <first>.<last> account will remain with the college. If you retire, you will be provided a new (but empty) @retiree.avc.edu account. If you return to teach later, your old <first>.<last> account will be reactivated and you will have two accounts.

College employees have two adjustments for our complete transition to Microsoft 365. First, your email (and username) is now <first>.<last>@avc.edu. We are setting up permanent forwards so you will not lose any new emails sent to your old address. You will also need to login using your email address into AVCID.  Also, all student workers will given a new, empty @avc.edu work account. At this point, we will still be using Gmail.

During Fall 2023, we will migrate email services to Microsoft 365. We will also copy all of your files in Google Drive over to Microsoft OneDrive, where you will have 1TB (that's 1,000GB) storage for files, 100GB of storage for email, and another 100GB for email archives (this can be increased on a case-by-case basis). We will also copy the content of shared accounts to Microsoft, too. Because Microsoft provides security tools to help protect us from hackers and other bad actors, we encourage that you start using OneDrive instead of Google now for work in your department. You may also use Google Takeout to download a full copy of your emails and files now to ensure that you have all of your data. We will not be deleting any data now, but do plan on putting 50 GB quotas on permanent employees and 10GB quotas on student and hourly workers in Google. We will also disable Google Photos at that time.

When you leave AVC, your <first>.<last> account will remain with the college. If you retire, you will be provided a new (but empty) @retiree.avc.edu account. 

We are updating the email address for all retirees identified in Banner to <first name>.<last name>@retiree.avc.edu. This will become your permanent address with AVC, and will be the account used to access any IT-related retirement benefits, such as Microsoft 365. You will also begin logging into AVCID using your full email address. A temporary alias to your old email address will be kept until the end of December 2024 so you have time to notify others of your changed address. If you retired before AVC started using Banner HR and want to have a retiree email account, please email help@avc.edu with your request so we can ensure that you keep your account. If you do not notify us and you are not in Banner as a retiree, your account will be deleted when we implement this change to email addresses.

As a FERPA compliance measure, all retirees will be provided a new, empty inbox when AVC migrated to Microsoft 365 during Fall 2023, and you will lose access to Google services. The district will take possession of the old Google account. If you return to work here, your old employee account will be recreated. If you return to take classes, you will get a separate student account. Additionally, if you are entitled to licensed software through the district as a retiree, you will use your retiree account to access those benefits. If you want to retain a copy of your current emails and files in Google, you may use Google Takeout to download a personal copy.

AVC has a process in place to offer the full Microsoft M365 suite to retirees until age 65 or for 3 years, which ever is longer. This license will be added to your account when we migrate to Microsoft for email, if it is not already there.

All AVC alumni (anyone who has successfully completed at least one class) and is in good standing with the college will be provided with an Email account in Microsoft 365.

We have updated the email address for qualified alumni to <first initial><last name>###@alumni.avc.edu. Your login to AVCID will be your full email address. We will also assign a 5GB storage quota in Google for all alumni accounts. Your email will stop working and Google Drive will no longer let you add files while you are over quota. You may use Google Takeout to download a full copy of your emails and files now to ensure that you have all of your data.

If you are not a qualified alum, your Google and Microsoft 365 accounts will be terminated and deleted when we migrate to Microsoft during Fall 2023.

During Fall 2023, qualified alumni will be provided with a new, empty email account in Microsoft 365, and we will delete your Google account. We will not migrate your email to Microsoft. If you want to keep your emails, you may download a copy using Google Takeout.
